Automation that respects the line between administrative and clinical.

Healthcare organisations lose clinical time to administrative work every day. We automate the scheduling, documentation, and operational workflows around care. And draw a hard line before clinical judgment.

KEY CHALLENGES

Administrative work consuming clinical staff time
Documentation and scheduling take hours away from patient care.
Compliance requirements baked into every workflow
HIPAA and adjacent regulations touch nearly every system.
Legacy systems that don't talk to each other
Records fragmented across decades of point systems.
Patient-facing experiences lagging consumer expectations
Patients expect the ease of consumer apps from their providers.
A hard line between what should and shouldn't be automated
Clinical judgment stays with clinicians. Always.

Prior-authorisation packet assembly for a regional health system

Regional health system, Ohio

Challenge
Referral coordinators assembled prior-authorisation requests by hand, pulling clinical notes, imaging reports and payer-specific forms from three systems. Each packet took 40 to 60 minutes, payer rejections for incomplete submissions ran at about one in five, and the backlog delayed some procedures by weeks.
Solution
We built an agent that drafts each packet from the order, selecting the correct payer form, gathering the supporting documents and highlighting where the clinical criteria are met. A coordinator reviews and submits; nothing leaves the system without human sign-off. All access is logged against the patient record.
Results
  • Packet preparation time down from 50 minutes to 12
  • Payer rejections for incomplete submissions fell from 21% to 7%
  • Backlog cleared in 6 weeks across 4 specialty clinics

Outpatient appointment portal for an NHS acute trust

NHS acute trust, North West England

Challenge
Outpatients received appointment letters by post and could only rebook by phone, where the average wait was over twelve minutes. Roughly one in nine appointments was missed, and clinic slots freed up by cancellations often went unfilled because the booking team could not reach waiting patients in time.
Solution
We built a patient portal integrated with the trust's patient administration system, letting patients confirm, rebook or cancel online, with NHS login for identity. Freed slots are offered automatically to patients on the waiting list by text. The booking team sees every change in their existing screens.
Results
  • Did-not-attend rate down from 11% to 7.5% in six months
  • Phone rebooking calls reduced by around 2,100 a month
  • Cancelled slots refilled within 24 hours rose to 62%

Discharge-letter drafting pilot for a community health trust

NHS community healthcare trust, East of England

Challenge
Clinicians wrote discharge letters to GPs at the end of the day from memory and notes, so letters were often delayed by several days and varied widely in structure. GP practices complained that medication changes were buried in free text or missing altogether.
Solution
In an eight-week pilot we built a drafting tool that structures a discharge letter from the clinical record, with medication changes in a fixed section and each statement linked to its source entry. Clinicians review, edit and sign; the unedited draft is retained for clinical safety audit.
Results
  • Median discharge-to-letter time down from 4 days to 1
  • Medication changes present in 98% of letters, up from 79%
  • Pilot ran on 2 wards with 23 clinicians over 8 weeks

Credentialing tracker for a physician-owned practice group

Physician-owned multi-specialty group, Arizona

Challenge
Provider credentialing and payer enrolment for about 140 clinicians were tracked in a spreadsheet by one administrator. Expiring licences and DEA registrations were caught by calendar reminders, and a lapsed enrolment had cost the group several weeks of unbillable visits the previous year.
Solution
We built a Power App on the group's Microsoft 365 tenant that holds each clinician's credentials, expiry dates and payer enrolments, with automated reminders to the clinician and administrator at 90, 60 and 30 days. Document uploads are versioned, and a dashboard shows every expiry in the next quarter.
Results
  • Zero lapsed enrolments in the 12 months after go-live
  • Administrator time on status enquiries down by about 10 hours a week
  • Built and populated for 140 clinicians in 6 weeks

FAQ

Healthcare + agentic AI: questions, answered.

How can AI agents reduce administrative burden for healthcare providers?

AGS agents clear claims, prior authorisation, and scheduling backlogs that pull clinical staff away from patient care. Agents work inside the administrative and operational systems teams already use, drawing a hard line before clinical judgment. Every action is logged and reversible under strict governance, so capacity returns to care without automating decisions that belong to clinicians.

Is agentic AI HIPAA-compliant and safe for handling PHI?

Yes. AGS handles protected health information with data masking, residency controls, and a complete audit record, HIPAA-aligned by design across every engagement. Agents run under least-privilege identity so each one reaches only the data its task requires. Certified to ISO 27001 and SOC 2, with every action logged and reversible for compliance review.

Can autonomous agents automate prior authorisation and claims processing?

Yes. AGS agents process prior authorisation and claims workflows under strict governance, matching, submitting, and escalating exceptions that once sat in manual queues. Agents integrate with the systems care teams already run, so throughput rises without new tooling. Human-in-the-loop gates and complete logs keep every determination traceable and reversible.

How does AGS keep clinical judgment out of automated healthcare workflows?

AGS automates the administrative and operational work around care, scheduling, documentation, claims, and draws a firm line before clinical judgment, which always stays with clinicians. Agents are scoped by least-privilege access to administrative systems only, and every action is logged and reversible. The line between what should and should not be automated is enforced by design.

Can AI agents improve patient access and scheduling without risking privacy?

Yes. AGS agents coordinate scheduling and patient-access workflows to give patients the ease they expect from consumer apps, while PHI stays protected through masking, residency controls, and full audit logging. Agents run under least-privilege identity with human-in-the-loop gates on sensitive steps, so patient experience improves without loosening privacy or compliance.
