Admissions document processing for a mid-size US university
Private university, Mid-Atlantic USA
- Challenge
- Admissions received roughly 14,000 applications a cycle, each with transcripts, test scores and recommendation letters arriving separately and needing to be matched to the right file. Two staff spent the first six weeks of every cycle just assembling complete files before review could start.
- Solution
- We built an agent that ingests each incoming document, matches it to the right applicant file via name and ID fields, extracts transcript GPA and coursework into a structured summary, and flags files as complete or lists exactly what is missing. Admissions officers review complete files, not paperwork.
- Results
- File-assembly backlog cut from 6 weeks to 9 days
- Missing-document follow-ups sent within 24 hours of a gap being found
- 14,000 applications processed through the pipeline in the first cycle
